Certificate registration

 

The Certificate Registration Hub can only be accessed by the nominated Principal, Primary Contact or Certificate Administrator for their training centre.

First, create your MyRYA account if you don’t already have one, making sure to link it to your RYA membership/reference number.

How to check if your account is already linked to your RYA number

If you are a Principal, Primary Contact or Certificate Administrator of an RYA Recognised Training Centre, go to the ‘Training Centre Account’ section of MyRYA. You should be able to view the details under the ‘Your Training Centre’ heading.

When you are ready to register certificates go to MyRYA.

Select Training Centre Account.

Select ‘Go to Hub’ under the Certificate Registration section.

About certificate registration

The following certificates are required to be registered online via the Certificate Registration Hub because they can be used towards statutory certificates such as ICCs or commercial endorsements, or are required for certain types of RYA instructor certificates.

The following certificates must be registered online in order to be valid:

  • Powerboat Level 2

  • Powerboat Advanced

  • Tender Operator

  • Personal Watercraft Proficiency

  • Inland Waterways Helmsman

  • Day Skipper Practical

  • Coastal Skipper Practical

Before awarding any certificates at your centre, please read RGN B10 which details the requirements for record keeping, registering certificates and making your students aware that you will need to collect and share some of their personal data in order to issue their certificate.

Only certificates that have been purchased by your training centre may be registered, so please don't borrow certificates from another centre if you are low on stock. The certificate numbers will be rejected when you try to register them.

Certificates must be registered as soon as possible following successful completion of a course, even if you can't actually hand the certificate to the student for any reason (such as a missing photo etc). This is primarily because your student might need to use their certificate to apply for an ICC, commercial endorsement or instructor certificate. If you haven't registered it, their application will be delayed.

Errors and omissions

 

What happens if I’ve made a mistake with the registration?

If it is less than 6 hours since you issued the number, you should be able to select 'undo' and make the changes yourself. If it is more than 6 hours the record will be locked so please email the student's name, certificate number and details of the correction required to training.support@rya.org.uk.

 

There are missing courses in the drop down menu.

The courses displayed in the drop down menu are determined by the RYA recognition held by your centre at the time. Please contact training.support@rya.org.uk with your centre's name and RYA reference number so we can check your centre's details.

 

What if a student has forgotten their photo?

So long as they passed the course you should register the certificate so that it is recorded on the RYA database. Inform them that they cannot receive the certificate until they provide you with a photo, give them a timeframe in which to provide it and make them aware that the certificate is not valid until they have done so. Keep the certificate secure at your centre until you receive the photo and consider reminding the student after a reasonable amount time.

If no photo is provided in the timeframe you specified, email training.support@rya.org.uk with the certificate details and the reason why the student didn't receive it so we can record that information on their record. You may then securely destroy the certificate.

 

Student data and record keeping

Do I need to keep a record of my students?

Once certificates are registered in the hub, the certificate number is recorded on the RYA's central database, so it is not necessary for a permanent record to be retained elsewhere. Training Centres that retain local records of certificates must ensure that they do so in a manner that complies with GDPR.

 

Where are my student records from courses over 3 months ago?

To comply with data regulations and to allow the hub to work quickly, only students from the past 90 days of courses are displayed. Once a course is over 90 days ago, the data will be removed from the site regardless of whether a certificate is registered or not.

 

How can I check students or certificates from past courses?

If the course was within the last 90 days, the student's details should appear in the Certificate Registration Hub and you will be able to see whether a number has been issued to them.

If the course was more than 90 days ago, the student's details will no longer appear in the Certificate Registration Hub. The centre's Principal, Primary Contact or the relevant Chief Instructor should email training.support@rya.org.uk with the student's name, date of birth and course date to check whether their certificate has been registered.

 

Replacing certificates

How do I replace a lost photo ID certificate?

Students requiring replacement photo ID certificates should apply to the RYA using a 'declaration of loss' form. Photo ID certificates should not be replaced by the training centre.

 

What happens when a student reaches 16 and wants a new certificate without an U16 sticker?

Your student is not required to apply for a new certificate as any proof of age will show that the restrictions for under 16s no longer apply. However, if they insist on a new certificate they should apply to the RYA. No fee will be charged for the replacement certificate.
